How to Choose CSA Software

A farmer's guide to choosing CSA software: the features that matter, how pricing really works, questions to ask, and how the main platforms compare.

Updated October 2026

The short answer: Start with how your CSA actually runs: your share types, how members pay, where and when they pick up, and how much choice they get. Then compare the full yearly cost at your sales level, not the monthly sticker price. The best CSA software handles deposits and installments, add-on shares, member vacation weeks, packing lists, and SNAP, and lets you sell beyond the CSA from the same inventory.

Step 1: Map how your CSA works

Before you look at software, write down:

  • Share types and sizes. Full and half shares, egg, meat, flower, or fruit add-ons, and every-other-week options.

  • How members pay. Up front, a deposit, or installments through the season.

  • Who picks the box. Farmer's choice, member preferences, or members choosing items each week.

  • Distribution. Pickup sites, days, home delivery, and how you check members in.

  • What else you sell. Farm store, farmers markets, restaurants, or wholesale.

  • Who you want to reach. SNAP shoppers, new members, or workplaces.

Step 2: Know the features that matter

Feature

Why it matters

Deposits and installments

Lower the up-front cost so more families can join, and get early-season cash.

Mid-season prorating

Let people join late without manual math.

Add-on shares

Grow revenue per member with eggs, meat, flowers, and bread.

Member vacation weeks

Fewer missed pickups and wasted boxes, and members feel trusted.

Customizable boxes

Members get what they like, and retention goes up.

Packing sheets and labels

Saves hours on harvest day and cuts packing mistakes.

Pickup sign-in

Know who picked up, and settle balances at the site.

SNAP Online

Opens your CSA to families using SNAP benefits.

Farm store and register

Sell beyond the CSA without managing a second inventory.

Reports and exports

Bookkeeping, taxes, and grant reporting.

Step 3: Compare the real yearly cost

CSA software is priced three ways:

  1. Flat subscriptions, like Local Line ($87–$399/month) and Barn2Door ($119–$299/month billed annually plus a $399–$599 setup fee). Predictable, but you pay the full amount even in a slow year.

  2. Percentage of sales, like Farmigo and CSAware (about 2% of delivery revenue with a monthly minimum). Costs grow with your CSA.

  3. Low subscription plus a fee customers can cover, like GrownBy ($50/month CSA plan plus a 2% co-op fee members can cover at checkout). In 2024, 60% of GrownBy customers chose to cover all fees.

Add card processing on top of every option. For a CSA selling $50,000 a year at $50 average orders, the full yearly cost including processing is about $2,200–$3,200 on GrownBy, $3,570 on Local Line Premium, and $3,577 in year one on Barn2Door Entrepreneur. See the full math in GrownBy vs. Local Line and GrownBy vs. Barn2Door.

Step 4: Ask these questions on every demo

  • Can members pay a deposit and installments, and what happens when someone joins mid-season?

  • Can members skip a week themselves, and do they get credit?

  • How do I handle a short harvest, like carrots for only half my members?

  • What do packing day and pickup look like in the software?

  • Can I accept SNAP online for CSA shares?

  • Can I sell eggs or meat to non-members from the same inventory?

  • Who owns my customer list, and can I export it any time?

  • Who owns the company, and what happens to my fees?

Other CSA tools worth knowing

  • Farmhand is newer, farmer-founded software with delivery routing, a built-in website, and SMS marketing, priced at $80 or $200 a month plus a 3% service fee and 4% processing that customers can cover. See GrownBy vs. Farmhand.

  • Local Food Marketplace is built for food hubs and multi-producer operations, from $129 to $349 a month billed annually, with a CSA add-on at $99 to $149 a month.

  • Open Food Network is an international not-for-profit with open-source marketplace software used by more than 2,500 farms and hubs in 15+ countries, including the US and Canada. A good fit for buying groups and hubs that want to run their own instance.

  • European CSA tools are mostly free and open source, built by and for solidarity-agriculture groups: OpenOlitor and Juntagrico (Switzerland and Germany), Cagette, AMAPress, and AMAPJ (France), and RePanier (Belgium). They handle member administration and deliveries but assume volunteer tech support and don't process US payments or SNAP.

  • Harvie shut down at the end of 2024, and Small Farm Central merged into Harvie before that. If you're still on either, you need a new home.

For an independent, side-by-side feature review, the CSA Innovation Network points farmers to Grapevine Local Food Marketing's Comparing CSA Sales Platforms, which covers nine platforms including GrownBy, Farmhand, Barn2Door, Local Line, CSAware, and Farmigo.

CSA software for small CSAs and large CSAs

Farms on GrownBy range from backyard growers to CSAs serving more than 1,000 customers. The needs change with size, so check that your software fits where you are now and where you're headed.

If you run a small or new CSA

  • Keep fixed costs low. GrownBy CSA is $50/month ($540/year) with no setup fee, and customers can cover the 2% co-op fee, so you aren't paying big subscription fees before your first share sells.

  • Start simple. Sell farmer's-choice shares with a deposit and installments, add an egg or flower add-on, and set one pickup site.

  • Fill your CSA. Shoppers can find you in the GrownBy app, and SNAP Online opens your CSA to families using SNAP benefits.

  • Sell the extras. Your farm store and GrownBy Register sell surplus to non-members from the same inventory.

If you run a large CSA

  • Multiple pickup sites and delivery. Unlimited locations and schedules, with automatic pickup reminders.

  • Payments at scale. Deposits, installments, automatic prorating for mid-season sign-ups, and invoices, without spreadsheets.

  • Custom boxes without the chaos. GrownBy Custom CSA matches member preferences to your harvest and prints individual packing sheets and thermal labels.

  • Fast pickup. The GrownBy sign-in app lets staff swipe to confirm pickups and see balances on the spot.

  • More than a CSA. GrownBy Plus combines CSA and wholesale with one inventory and one customer list, and GrownBy Register runs your market stands.

  • Lower cost as you grow. High-volume farms may qualify for a reduced co-op fee, and co-op members save 10% on every plan.

Why CSA farmers choose GrownBy

GrownBy CSA was designed with CSA farmers, and our support team includes former CSA farmers. It handles deposits and installments with automatic prorating, primary and add-on shares, member-managed vacation weeks that become farm credit, farmer skip weeks, a pickup sign-in app, and optional custom boxes matched to your harvest. Members get pickup reminders and can message you in the app. GrownBy was the first farm platform approved by the USDA for SNAP Online. And because GrownBy is a farmer-owned cooperative, your fees build a company you own.

Frequently asked questions

What is the best CSA software?

It depends on your CSA. For most direct-to-consumer CSAs, GrownBy offers the most CSA-specific features at the lowest cost, plus free SNAP Online and farmer ownership. If you want to sell to a mainline distributor or a national chain, Local Line is built for that supply chain. If your customers will cover all fees and you want routing and done-for-you marketing, look at Farmhand.

How much does CSA software cost?

Typically $500–$4,000 a year plus card processing, depending on the platform and your sales. GrownBy's CSA plan is $540 a year, and customers can cover the 2% co-op fee.

What happened to Harvie?

Harvie shut down at the end of 2024. Farms that relied on Harvie's customizable boxes can find similar tools in GrownBy Custom CSA, which matches member preferences to your harvest.

Can a CSA accept SNAP?

Yes. A farm authorized by USDA FNS can accept SNAP for CSA shares. GrownBy offers SNAP Online for free and will guide you through certification.
